Dispatch portal

Dispatch Portal For Business Accounts

Most transport goes wrong in the gaps between systems. A unit is booked by email, confirmed by phone, updated in a spreadsheet, and nobody is quite sure where it is.

The problem it solves

Transport coordination fails quietly. Not through dramatic failures, but through a booking someone forgot to confirm, a delivery address that changed in a phone call nobody logged, and a status question that took three emails to answer.

The cost is not the individual mistake. It is that your team stops trusting the process and starts double-checking everything, which is where the hours go.

A single place to submit, track and report removes most of that. Not because software is magic, but because there is one version of the truth instead of four.

What it does

  • Submit units — enter a VIN and a destination rather than composing an email
  • See live status — what is quoted, assigned, collected, in transit and delivered
  • Driver details — name, company and contact for every assigned load
  • Condition records — signed Bills of Lading and photographs stored against the unit
  • Document access — pull paperwork later without asking anyone for it
  • Reporting — volume, lanes and completion across whatever period you need
  • Multiple users — several people from your team, each with their own login

How it fits your workflow

  1. Submit the unit or the batch. Your saved sites and lane rates apply automatically.
  2. We source and verify a carrier, and the assignment appears with driver details attached.
  3. Track through collection and transit without calling to ask.
  4. Close out with the signed condition report and photographs stored against the record.

Why the document trail matters. The Bill of Lading is what settles a damage dispute, and disputes surface weeks after delivery. Having those records retrievable by VIN, rather than buried in an inbox, is the difference between a five-minute answer and an afternoon of searching.

What it does not do

It is worth being straight about this. The portal does not replace talking to a person, and it is not a self-serve marketplace where you pick a truck yourself.

Carrier selection still involves us verifying authority, insurance and safety record before dispatch. The portal makes the process visible and the paperwork retrievable. It does not automate the judgement.

Portal questions

Is there a cost for portal access?

It comes with a business account rather than being priced separately. Tell us your volume and we will set it up as part of the account.

Can several people from our team have access?

Yes. Multiple users with individual logins, which matters when sales, logistics and accounts all need visibility for different reasons.

Can we still book by phone or email?

Of course. The portal is there to make things easier, not to force a channel. Plenty of accounts use it for routine volume and call for anything urgent or unusual.

How long are condition records kept?

Long enough to cover the period in which disputes realistically arise. The retention period is confirmed when your account is set up.

Does it integrate with our inventory system?

Tell us what you run and we will be straight about what is possible. Some integrations are practical, others are not worth the effort for the volume involved.
